What is document imaging?Document imaging is a means of converting traditional paper files into electronic images. Paper files can be scanned, saved and organized in various ways, including desktop applications, server based applications, and web-enabled (Internet) applications.
How do I get my documents to you? Do you pick them up?Docutex routinely picks up files in the WV/MD/VA/DC/PA area. Depending on volume, pickup fees may apply. Documents can also be shipped to Docutex by commercial carrier such as FedEx or UPS.
Do you scan in our office?Yes, we can scan in your facility if you are unable to release documents from your office. Docutex has field representatives with portable high speed scanners who work right out of your office. We can do all or part of the job in your office, depending on your requirements.
My documents are sensitive. Can we legally outsource the scanning process?Yes, even with laws like HIPAA, you are allowed to outsource business processes provided your contractors adhere to the same standards by which you are required to abide. Docutex operates in a Department of Defense Top Secret cleared facility. Many of our employees have U.S. Government issued security clearances; and all have undergone extensive background checks.
Where can I find your standard price list?Docutex doesn't offer a one-size-fits-all approach, and therefore, we don't publish a standard price list. Each project is unique, and we believe our clients are better served when we take the time to understand their individual needs. While our prices are competitive, they are also tailored to the requirements of each job. This ensures total client satisfaction and avoids surprises at the end of the project.
How will my images be delivered?Docutex is capable of delivering images and related index data in a variety of formats including CD, DVD, hard drive, via FTP, directly to a client's servers, and others.
In which formats can you deliver images?The most common formats are PDF, TIFF (single or multi-page), and JPG. Docutex has experience delivering images in numerous formats suitable for use in a variety of document management systems.
How can document imaging lower my company costs?A paperless office increases profitability by permanently storing documents electronically. Staff spends less time filing and locating misplaced files which results in increased productivity. Printing, paper, and storage costs are reduced as well, increasing your return on investment (ROI).
What type of imaging service do you provide?Docutex provides all aspects of imaging for its clients including backfile imaging, day forward imaging, and imaging on demand.
Do you provide digital storage?Yes, Docutex provides several digital storage options which provide a safe redundant alternative to storing the documents in your own facility.
Do I need special hardware or software?Generally, no you do not. While each document imaging project is different, images can be stored on CD or DVD and easily accessed from a computer with a CD or DVD drive. Our CDs and DVDs can be read by all standard operating systems including Windows and Macintosh. Very large projects with specialized storage or retrieval requirements may require additional hardware or software. Docutex can assist with those systems, as well.
